Invoice Suite help
Installing the app, your first invoice, importing your data, and your account.
Install it like an app
Invoice Suite runs in the browser. Installing it gives you an icon, full screen, and offline access. No app store, no download, and the same account on every device.
| iPhone / iPad | Open the site in Safari, tap Share, then Add to Home Screen. |
| Android | Open it in Chrome, tap the three dots, then Install app. The app also offers an Install app button in its header. |
| Windows / Mac computer | In Chrome or Edge, click the install icon at the right of the address bar. |
Working without a connection
- With no connection, an amber banner appears at the top of the app.
- You can still create a new invoice. It is kept on the device, and the header shows how many are waiting.
- As soon as the connection returns, they are sent automatically and the counter disappears.
- Editing an existing invoice needs a connection, so the app asks you to reconnect instead of creating a duplicate.
- Invoices waiting on a device are not on our servers yet. Do not clear the browser data of that device before they have synced.
Using several devices
Your invoices, customers and settings live on our servers, in your account. Sign in with the same email on your phone, your laptop or a browser and you see the same data. There is nothing to copy between devices.
Each device loads the latest data when you open the app, and refreshes after every change you make there. If the app stays open on another device, reload it to see changes made elsewhere.
Signing in and your recovery code
- When your account is created, you receive a recovery code by email. Keep it: it is the only way to reset your password yourself.
- Forgot your password? On the sign-in screen, choose Forgot your password, enter your email, the recovery code, and a new password.
- Lost the code? Write to info@gamma-inc.ca and we will reset it for you.
Early access and billing
Invoice Suite is free during early access: every feature, unlimited invoices, no card.
When billing starts, the price is CAD $12 per month per business, and the first 50 customers keep CAD $9 per month for 12 months. Taxes extra. Billing will be announced at least 30 days ahead, and you can stop before it starts.
Deleting your account
Settings, then Danger zone, then Delete my account and all of its data. It removes your company, customers, invoices and payments. This cannot be undone.
Your first invoice
Once your company details are in, an invoice takes about a minute.
- Fill in your company first. Open Companies and enter your business name, address, phone, email, logo, and your GST and QST numbers. This information appears on every invoice, and you enter it once.
- Start the invoice. Open Invoices and press New Invoice.
- Choose the customer. Pick an existing one, or create one right there with their name, email and address.
- Check the dates. The issue date is today and the due date is 30 days later. Change either if you need to.
- Add the lines. One line per product or service: description, quantity, unit price. Add a discount on the line if you give one, and tick Taxable for anything that takes GST and QST.
- Read the total. The summary shows the subtotal, GST, QST and the total. If a figure looks wrong, check the tax rates under Companies before saving.
- Save. The invoice receives its number automatically (INV-2026-0001 and so on) and starts as a draft. The prefix is set in the company settings.
- Send it. In the invoice row, View opens the printable sheet, PDF downloads it, Email sends it to your customer, and Link copies a public link they can open in a browser. Then open the invoice with Edit and set the status to Sent.
- Record the payment. When the money arrives, press Payment. The balance updates and the status becomes paid or partially paid.
Sending does not change the status by itself, so set it yourself. If you bill the same thing every month, Recurring keeps the lines and creates the invoice on schedule.
Coming from another app
Most invoicing apps can export a spreadsheet. The importer reads that file, and you can check everything before it touches your account.
Before you start
- In your old app, choose Export and take the CSV format. If it only offers Excel, save the file as CSV from your spreadsheet.
- Export invoices with their line items when the option exists, not a summary of totals.
- Keep these columns if you can: invoice number, customer, issue date, due date, status, description, quantity, unit price, discount, taxable, GST, QST, total. Other columns are ignored, so you can leave them in the file.
- Open the file once to confirm it has a header row and one row per line item.
Back up first
Open Backup and press Download Backup. That JSON file is a complete copy of your account. If the import does not go as planned, restore it from the same page and you are back where you started.
The import, step by step
- On the same Backup page, find Import from another app.
- Choose your file: .csv, .tsv, .txt, or a .json backup made by this app.
- Check the Columns mapping. Each field on the left takes one column from your file on the right. Leave a field at not mapped when your file does not have it.
- Read the preview: companies, customers, invoices, payments. A zero where you expected a number usually means that column is not mapped.
- Choose Replace this account’s data for a clean start, or Add to what is already there to keep the invoices you already made here.
- Press Import and wait for the confirmation.
What maps to what
| Invoice number | Groups rows into one invoice. Rows with the same number become one invoice with several lines. A row with no number becomes an invoice on its own. |
| Customer | The customer name. A customer is created for every name that does not exist yet. |
| Issue date, Due date | YYYY-MM-DD is the safest. DD/MM/YYYY also works, but 03/04/2026 is read as 3 April. |
| Status | draft, sent, partially paid, paid, overdue, cancelled. Any other value becomes sent. |
| Description | The line text. Empty becomes Item. |
| Quantity, Unit price | Numbers. The quantity is 1 when the cell is empty. |
| Discount | A percentage applied to that line. |
| Taxable | yes or no. An empty cell means taxable. |
| GST, QST | Tax amounts, when your export contains them. |
| Total | Used only when a row has no description and no price. The row is imported as one line without tax so the total matches. |
Check three invoices
- Your largest invoice, compared with the old app.
- One with taxes, to the cent.
- An old paid invoice: status paid, balance at zero.
When a total differs, the tax setting is almost always the reason. Check the GST and QST rates under Companies, and whether QST is calculated on the amount that already includes GST.
If something looks wrong
- Duplicated customers. Clinique Rive-Nord and Clinique Rive Nord are two different customers to the importer. Fix the spelling in the file before importing, or rename one afterwards.
- Dates that look swapped. 03/04/2026 is ambiguous. If dates came out wrong, export again with YYYY-MM-DD dates.
- Every row became its own invoice. Your export has no invoice number column. Map the column that holds it, even if it is named Facture, No or Ref.
- Amounts read as zero. A thousands separator breaks the number: 1,234.56 can read as zero. Export plain numbers such as 1234.56.
- Replace deleted your test data. That is what it does. Restore the JSON backup from the Backup page.
